Becoming a Live & Local Promoter may appear to be a daunting task if you've never promoted a professional arts event in the past. However that’s where we come in, along with this Handbook which is also available in hard copy if you contact us.

We are always at the end of the phone (well, at least during our nearly normal office hours of 10.00am to 4.00pm). We will have met you during the recruitment process and we hope to see you again at future Live & Local events and the annual Promoter Meetings. And we can always put you in touch with other Live & Local Promoters.

There is a wealth of advice in this Handbook that has been gathered over the past 30 years from Live & Local Promoters and from other touring schemes around the country. We have also tried to cover the inevitable bureaucracy associated with running a public funded event.

So, before embarking on your Live & Local voyage, we suggest you have a glance through this Handbook not so much to take it all in immediately, but to see what areas of advice are included so that you can look at the detail at the appropriate moment.

Joining Live & Local

By this point you should have had a meeting with someone from the Live & Local office, discussed the scheme with your group and returned a signed copy of the Promoter Agreement.

Joining the Live & Local Network entitles you to:

  • Information about high quality professional shows available to suit all sorts of venues and audiences through our annual Menu published in February/March;
  • Friendly and helpful advice from our office team to help choose, promote and run the events;
  • Opportunity to get financial help with the Live & Local subsidy on performer costs;
  • A Promoter Handbook (published on our website and available as a hard copy) full of helpful tips for choosing and putting on your event(s);
  • Marketing information for your Live & Local shows;
  • Tickets and a box office system for your shows (please note we are not providing tickets until further notice);
  • Overprinted posters and leaflets;
  • Your Live & Local performances featured on our website;
  • Access to a national network of similar local Promoters through the NRTF;
  • An invitation to our annual Promoter Meetings where you can meet other local Promoters;
  • A regular Live & Local Network E-Newsletter;
  • Complimentary tickets to other Live & Local performances;
  • Opportunity to join our It’s a GAS! (Go and See) scheme;
  • The potential to participate in special Live & Local projects.

Subsidised Performances

Joining Live & Local entitles you to request shows from our annual Menu and to receive the support detailed above. However, it does not automatically entitle you to receive the subsidy on the performer's costs for all the shows you may request.

We receive a finite amount of funding from the Arts Council and your local authority and in some areas the demand for performances outstrips the amount of funding we have to subsidise every performance. During the recruitment process we will have indicated the situation in your particular local authority area.

The annual Menu details both the subsidised cost as well as the real cost of the performances and Promoters can indicate whether they would consider an unsubsidised performance when they put in their requests.

While we describe this as ‘without subsidy’, the benefits of booking a show through Live & Local always constitute a form of subsidy. We provide you with marketing materials, tickets and print. Many of our current Promoters take advantage of this, booking additional performances over and above their subsidised ones and benefiting from the full service.

OUR Tasks - YOUR Tasks

People in the Live & Local office team:

  • Visit your group and your venue to discuss the scheme;
  • Raise the funding from local authorities, arts boards, sponsors and others;
  • Research, compile and distribute the annual ‘Menu’ of available shows;
  • Co-ordinate performance dates to avoid local clashes;
  • Issue contracts to you and the artists;
  • Send you posters and leaflets in liaison with the performers;
  • Provide you with a friendly support and advisory service;
  • Offer you advice on setting ticket prices, then print the tickets;
  • Publish the What’s On Diaries;
  • Organise annual Menu Launches ;
  • Manage the Live & Local website (www.liveandlocal.org.uk), which details performance information;
  • Publish the online Promoter Handbook, including information and advice;
  • Attract audiences via the press & media and our mailing list;
  • Provide liaison between you and the visiting performers;
  • Pay the performers their fee and send you an invoice for your fee.

People in Your Group:

  • Read, discuss and sign the Promoter Agreement;
  • Choose your show(s) with our help and sign and return the Promoter Agreement;
  • Liaise with other local groups to avoid date clashes;
  • Provide the venue, ensuring it is appropriately licensed and insured;
  • Provide details about the venue - disabled access, size, power supply, etc;
  • Plan a campaign with our help and distribute the local publicity material;
  • Provide an advance bookings telephone contact (with answering machine);
  • Sell the tickets, ensuring that they are available to all the community;
  • Meet the performers and be available on the day of the event;
  • Provide tea, coffee and sometimes a light meal for performers before the show;
  • Organise and run the event on the night;
  • Find out what the audience thought about the performance and what they might like to see in the future;
  • Return your Returns and Show Report forms telling us your ticket sales and how the show was received;
  • Pay the invoice when it arrives!
  • Come along to the annual Menu Launches.
