Promoter Agreements - Joining the Network

Once the Live & Local Community Engagement Officer has been out to meet your group to talk about the scheme, to look at your venue and to answer any queries you might have, we will ask your group to sign a Promoter Agreement. This details the rights and responsibilities for yourselves and for Live & Local - describing the arrangements between Live & Local, your group or organisation and the rest of the Live & Local network, telling you what you can expect from us and what we expect from you.

In addition to supporting the process of putting on a show there are other responsibilities for everyone who joins the network, which are detailed in this Promoter Agreement. Unlike the individual show contracts, it is binding in honour only and is not intended to be a legally binding contract.

Consequently, please make sure that the Agreement has been discussed and approved by your whole group/organisation. Please note that the Agreement needs to be signed by two people from your group.

Once you have signed and returned this Agreement you will be a part of the Live & Local network!

What you get:

Being part of the network does not automatically guarantee that we can place shows with your group or fully subsidise them - this depends on the level of demand within your local authority area. However all members of the network get these benefits for shows booked from our annual Menu:

  • Information about high quality professional shows available to suit all sorts of venues and audiences through our annual Menu published in Feb/March;
  • Opportunity to get financial help with the Live & Local subsidy on performer costs;
  • Advice and support available to help choose, promote and run the events;
  • Marketing information for your Live & Local shows;
  • Tickets and a suggested box office system for your shows (please note we are not providing tickets until further notice);
  • Posters and leaflets;
  • Your Live & Local performances will feature on our website;
  • Invitation to annual Menu Launches where you can meet other Promoters;
  • Complimentary tickets to other Live & Local performances;
  • Potential to participate in special Live & Local projects.

Many Promoters now book shows without the performer subsidy for their second/third performance in a year and the above benefits do constitute a form of subsidy, in things like marketing materials, tickets and print.

Show Request Forms

The Live & Local network is a bit like a house buying chain – with Promoters, performers, audiences and the office team forming the essential links. Like a housing chain, everything a particular 'link' does (or doesn’t do!) can affect everyone else in the scheme.

You will generally put in your request for a performance or performances on our Show Request form sometime in March/April/May time after we publish the annual 'Menu' of available shows. You are asked to give your ideal and alternatives for both the shows and the dates.

Once your Show Request form has been received we will assume that all the dates you have given us remain available in your Hall diary unless and until you tell us. Make sure that your diary secretary is informed. We will be allocating the funds and making financial commitments to the companies based on the information on your form.

We co-ordinate the dates given to us by all of our Promoters with the available dates from the companies. We are co-ordinating requests for around 200 shows so it is vital that you let us know immediately a date becomes unavailable in your Hall diary.

We try to finalise bookings for the autumn by the middle of the summer - and indeed for most of the winter and spring. However it is not possible to give an exact date.

Performance Contracts

By submitting the Show Request form the Main Contact on behalf of the Organisation named on the form is agreeing with Live & Local Ltd to host the requested number of performances(s) on one of the preferred or possible dates offered against each choice on the Show Request Form.

We negotiate with and contract the performers, taking on the full cost of the show. We have a separate Performance Contract with you for a subsidised fee. These Performance Contracts and the contracts with the performers are are legally binding contracts.

You will subsequently receive a Final Confirmation email and an Event Information Form for your information, which includes contact and hospitality details for the company performing at your venue. Please keep this somewhere safe for future reference.

Publicity Form

Please submit your online Publicity Form as soon as possible after confirming your show allocation. You will be asked to provide us with your ticket prices and box office and publicity information which is printed on the tickets and published on the website.
