It's a team effort

In order to promote a successful event it's best to have the support of an enthusiastic group of volunteers who are willing to contribute to the practical work involved in choosing, publicising and organising the actual performances.

This doesn't mean that the whole group has to be highly involved throughout the process, but there will be times when you will need extra pairs of hands and it helps if everyone in your group is clear of their role.

Who will do the following jobs?

  • Main contact for Live & Local
  • Choosing shows and deciding on dates
  • Providing a main Box Office number with an answering machine
  • Selling tickets (Either individuals or other outlets)
  • Handling finances
  • Publicising / selling the show (Putting up posters, knocking on doors, etc)
  • Writing press releases
  • Licences, health and safety and other regulations
  • Talking to Performers in the run-up to the event and providing hospitality on the night
  • On the night: jobs such as serving refreshments, selling raffle tickets, setting out chairs and selling tickets.

Once you have identified all the jobs that need to be done you can divide them up according to people's skills, interests and availability.

Ensure that you give volunteers all the information that is needed to do their job, for example helpers on the night should be familiar with the venue, including fire exits and evacuation procedures, health and safety and facilities for disabled people.

Everyone should have a basic idea of what the show is all about and who it is suitable for so they can sell it accurately and field any questions.

Remember to always let volunteers know that you value their help and remember to say thank you at the end of the night!
